OPEN BOARD POSITION DESCRIPTIONS:

Treasurer:

-          Maintain all finances related to the operation of the programs of WHYS which currently includes 3 bank accounts (Operating, Select and Reserve) at Volunteer State Bank.  Maintain all information on our Quick Books account

-          Be added to these bank accounts as a signatory

-          Maintain monthly income/expense reports for board meetings

-          Issue written checks as requested by board members for league expenses and maintain receipts for these purchases

-          Take out funds for parking and concessions and then count proceeds and make deposits for tournament weekends

-          Ensure organization maintains 501C3 status, Federal Sales tax exemptions, and TN Secretary of State reports every year.

-          Prepare all accounts and information to turn over to accountant for tax preparation.  Once all is filed, prepare year -end report for presentation to the board of directors

-          Regular attendance at monthly board meetings

-          Board duties on recreation weekends

-          Board duties during tournament weekends

-          Voting Position

Tournament Coordinator:

-          The tournament director is responsible for the registration, scheduling and operation of the games during tournament weekends.

-          The tournament coordinator will be responsible for all other aspects of the weekend for the Spring and Fall Classic select tournaments as well as the 3v3 Live summer tournament.

-          Coordinate and operate all volunteer scheduling for concessions, parking, field marshals, etc. needed for the events.

-          Coordinate and assist with preparation for event weekends with assistance from either board members or volunteer help. This includes field and complex preparation, concessions cleaning and purchasing needed items, scheduling outside vendors (food trucks, apparel etc.) and miscellaneous items such as portable restrooms rentals etc.

-          Complete and submit the event permit application to the city of White House for approval

-          Assist the tournament director when needed during the course of the tournament.

-          Work with treasurer to get change money needed for parking and concessions. 

-          Count and record parking and concessions money at end of tournament.  Turn over to treasurer for deposit.

-          Regular attendance at monthly board meetings

-          Board duties on recreation weekends

-          Voting Position as long as Tournament director position remains an outsourced position

Director of Referees:

-          Preferably the person in this position would be a USSF certified referee, but not required.

-          Work with TSSA staff to schedule new referee clinics once a year in White House. Assist USSF certified instructors at these new referee clinics.

-          Schedule and implement in-house refresher clinics for local referees at least once per season.  These clinics should include classroom and on field sessions.

-          Stay up to date on the requirements to become a referee and then the requirements to remain certified, including those who are over 18 years of age that have other requirements above the normal ones.

-          Help enforce zero tolerance policy on referee abuse during  game days

-          Follow established paths for new referees to begin once they have attained their certification using the shadow program and then continue to evaluate new referees over the course of the season. 

-          Provide feedback to referees during the season on what they can do to improve.

-          Recruit new referees to our program and lay out the steps to become a referee.

-          Assist referee assignor during recreation season to provide insight to assignments based on skill and merit.

-          Assist referee assignor during tournament weekends by helping with issues, keeping referee room food and drink stocked, and help enforce zero tolerance policy on referee abuse during tournament games.

-          Regular attendance at monthly board meetings

-          Board duties on recreation weekends

-          Board duties during tournament weekends

-          Voting position.

Age Coordinators:

-          Assist on recreation draft nights when your assigned groups are scheduled to draft teams

-          Gather coaching contact information at draft and put together some form of communication between you and your groups coaches.

-          Assist with getting coaches to complete and turn in their required paperwork to the DC before their practices begin (background/concussion/Safesport)

-          Be available for questions from the coaches in your group as it relates to schedules of practices, games, etc.

-          Be able to relay information from the league quickly to your coaches – game schedule changes, rainouts, etc.

-          Be the first point of contact when issues are brought to you by parents or coaches in your age groups.  If the issue must move up to a higher admin, assist with following up with relevant parties once the issue is resolved.

-          Complete season end evaluation of the coaches in your age group to determine if league will allow them to continue to coach subsequent seasons.

-          Provide feedback to coaches based on the core values of our league

-          Regular attendance at monthly board meetings

-          Board duties on recreation weekends

-          Board duties during tournament weekends

-          Non-Voting position unless person in age coordinator position hold it for 3 consecutive seasons.  Would become voting position at beginning of 4th season.
